MINUTES OF THE ANNUAL GENERAL MEETING


Held on 21 May 2008 at King Arthur’s School, Wincanton at 7.30pm

Present: The committee and 9 members.

1. The Minutes of the last AGM were circulated, agreed by the meeting as a correct record, and passed.

2. Matters Arising. None.

3. Reports by Officers
a. Treasurer. The Club remained in credit, and the forecast of income over expenditure was satisfactory, but it would be wise to raise the meeting fee to £1.50, particularly as insurance costs had increased because of the DPI equipment. The account was agreed by members.
b. Secretary. The Secretary ran through last year’s programme and hoped that members had enjoyed the varied range of events. The Club outings had been enjoyable, but not very well attended.
c. Competition Secretary. A resume of competitions over the past year was given. They had been well supported, but interest in slides had diminished. The Club was placed 3rd in the Bradford Abbas Shield and unplaced in the Kingswood Salver competition. The Club had won the Inter-Club Competitions against Gillingham and against Shaftesbury. Our WCPF Digital Image entry was placed 24th out of 43 clubs. Members had entered for the Knightshayes Trophy, but had not been successful.
d. Chairman. It had been an enjoyable year with good support for our competitions. There had been a welcome influx of new members, so that we were no longer classified as a ‘small club’. Fewer members were using film and so it seemed sensible to follow national trends and abandon slides for projected digital images. The new digital projector had enhanced the opportunities within the Club, and we were grateful for Tony Cole acting as custodian. The outings had been enjoyable and the visit to Montacute House would have to be followed up in conjunction with the National Trust. Those who had prints selected for the WCPF exhibition were congratulated. Len Ivins was thanked for hosting a practical evening. The Chairman concluded by thanking the committee for their work over the past year, especially Elaine Fraser who was not standing for re-election as Competition Secretary, a post she had held conscientiously for many years.

5. Annual Awards. The Chairman presented the following awards, which had been very well contested with close results:

6. Revised Competition Rules. Tony Cole explained the new rules revised to cater for prints and projected digital images. The new procedure would need to be bedded in, and possibly members would have to pre-determine a print or image to be discarded if there was an excessive number of entries to a competition. The new rules with minor amendment to paragraph 6 (delete ‘best 2’ in line 2, and change ‘one’ to ‘won’ in the penultimate line) were approved by members. The webmaster suggested that both print images and digital projected images should be submitted on disk in advance to facilitate updating the web gallery. The Chairman, in response to a question, explained the selection process for inter-club competitions. He added that Gillingham were committed to ceasing slides, and Shaftesbury and Bradford Abbas were still undecided on this issue.

7. Programme for 2008/09. The draft programme was outlined by the Chairman. An outing was being arranged to Weymouth. The Knightshayes Trophy subject was ‘Bridges’. There was considerable debate over the timing of the Club’s Open Competition and its relationship to the Bradford Abbas Shield and Kingswood Salver competitions. It was not possible to resolve a number of related issues at this Meeting, so the matter will be considered further by the Committee before the programme is finalised.

8. Any Other Business. A suggestion that the Club offers a rotating series of framed images for display in the Adult Education Centre was endorsed.
